When you join as a member or interact with our website, we may collect:

• Full name, date of birth, gender
• Home address, phone number, email address
• Emergency contact name and phone number
• Payment card details (processed securely by Square — we do not store card numbers)
• Digital signature (for the membership waiver)
• T-shirt size (if ordering club apparel)
• IP address and browser information collected automatically when you visit our website

2. How We Use Your Information

We collect and use your personal information to:

• Process your membership application and annual renewal
• Take payment for membership fees and merchandise
• Manage our member register and club ladder rankings

3. Disclosure to Third Parties

We may share your information with:

• Square Inc. — our payment processor. Card details are transmitted directly to Square and are not stored by us. Square's privacy policy is available at squareup.com.
• Google LLC — membership data is recorded in a Google Sheet stored in Google Drive, accessible only to authorised club officers.
• Australian Armwrestling Federation (AAF) — where required for competition registration or rankings.

We will not sell, rent, or trade your personal information to any third party for marketing purposes.

4. Data Storage & Security

Your information is stored in Google Sheets on Google Drive, access to which is restricted to authorised club officers. Payment transactions are handled entirely by Square's secure, PCI-compliant infrastructure. We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification, and disclosure.

We retain membership records for a minimum of 7 years to meet our obligations as an incorporated association under Queensland law, after which records are securely deleted.

5. Access & Correction

You have the right to request access to the personal information we hold about you, and to request corrections if it is inaccurate, out of date, or incomplete. To make a request, contact us using the details below. We will respond within 30 days.

6. Complaints

If you believe we have not handled your personal information in accordance with this policy or the Australian Privacy Principles, please contact us in the first instance. If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
